Lead management: from every contact that comes in to every customer you close

Lead management is everything that happens between someone asking for information and you giving them an answer that ends in a sale, or in a clear no. Kubo CRM is lead management software for small businesses: it collects the leads that arrive through any channel, assigns them and follows them until they close.

What lead management is

A lead is someone who has shown interest —filled in a form, sent an email, called— but isn’t a customer yet. Managing them means making sure each one gets an answer, that someone is in charge of it and that everyone knows where it stands.

It sounds simple until they arrive through five places at once: the website form in one inbox, the ads in another dashboard, the calls in a notebook and the referrals on someone’s phone. That’s where they get lost.

The four parts, and how Kubo CRM handles them

When one fails, the others feel it: a lead that never comes in can’t be assigned, and one that never moves can’t be measured.
  1. 1

    Getting it in

Every contact, without copying and pasting, with its original message and its source. In Kubo CRM it comes in through integrations —the email you forward, the universal webhook, WordPress, Typeform, Google Ads, Calendly…— or gets logged by hand in seconds. And the ones you already have in an Excel file or a CSV can be imported.

  2. 2

    Someone in charge

Every lead has an owner, and anything without one stands out at a glance. You assign in one click, one at a time or ten at a time; on the Pro plan, automatically too: in turns across the team, with its first step already set.

  3. 3

    Moving it forward

Statuses named after your own process —new, contacted, proposal sent…—, each one in its phase: open, assigned, won or lost. You move them in the table or by dragging them on the kanban board. And every lead carries its next step —call, write, meet—: the agenda tells you who is due today.

  4. 4

    Measuring it

How many come in, how many you win and which source they come from. On Team and Pro, also a report by period and by person —won, lost, conversion and value— as a PDF. Every number opens the list of leads it counts, so you can check it.

Signs you need it

  • Website forms land in one person’s inbox.
  • To find out whether anyone has replied to a customer, you have to ask out loud.
  • Your contact list lives in a spreadsheet everyone fills in their own way.
  • You don’t know which channel brings you customers and which only brings you calls.
  • A customer writes twice and two different people reply.

What to look for in lead management software

  • Capture without copying and pasting. If leads have to be typed in, in the end they don’t get typed in.
  • The original message, kept. What the customer asked for, in their own words, in their record.
  • Your statuses, not someone else’s. Every business sells its own way.
  • Permissions. Who can see, who can edit and who can export the whole pipeline.
  • Your data stays yours. You can export it whenever you want, and you know where it’s stored: Kubo CRM’s, in a database in Ireland. More on our security page.
  • A price that doesn’t punish growth. With Kubo CRM you pay per company, with users included: see the pricing.

Frequently asked questions

What’s the difference between a lead and a customer?

A lead has shown interest; a customer has already bought. Lead management covers the stretch in between: keeping that interest from cooling off before someone replies.

Is a lead CRM the same as a CRM?

It’s a CRM focused on the beginning of the road: capturing contacts, assigning them and following them until they close. Kubo CRM isn’t invoicing software or an email campaign tool.

Can I start for free?

Yes: the Free plan works for a small team, with its table, its board, its records and its statistics. See what it includes on the pricing page.

Can I take my leads with me?

Yes: export your leads to CSV whenever you want, on every plan, the Free one included.
